Membership Conditions

Members of Keychoice (hereafter referred to as “the Scheme”) agree with Software Solutions Partners Limited (hereafter referred to as “the Operator”):

  • To pay the monthly Membership Subscription on the dates and in the manner specified by the operator.
  • To abide by the Code of Conduct for Members.
  • To provide the operator with details of any changes to the information submitted on the Membership Application Form as and when requested by the operator, or where any material change occurs without a request being required.
  • To conduct any business arising from membership under the terms, conditions, rules, regulations procedural or administration guidelines laid down by the operator and the insurers involved.
  • To irrevocably authorise any of the insurers involved to release statistical information regarding any business written to an authorised official of the operator.
  • To allow the operator, in line with its Data Protection Policy, to release non attributable information drawn from the applications of individual members and/or collected during the business activities of the operator to insurers and other third parties as and when required. A copy of our Data Protection Policy is available upon request.
  • To provide the operator with statistical information from their computer system in the format, manner and at the times requested by the operator subject to the provisions of the Data Protection Act 1998.
  • To abide by the provisions of the Data Protection Act 1998 and subsequent amendments thereto at all times.
  • To accept that the insurers and/or the operator have the right to withdraw facilities and services from them at any time without giving reason.
  • Only to use the operator name, logo, brand names and trademarks or any other intellectual property or confidential information (hereafter referred to as “the operator’s I.P.”) in the ways and for the time prescribed in writing by the operator from time to time, and that the members acquire no rights of any kind whatsoever in relation to the operator’s I.P. other than to use them as aforesaid.
  • To return to the operator immediately upon cessation of membership or on the operator’s first risen demand at any other time, all materials, literature and products which incorporate any of the operator’s Intellectual Property.
  • Only to use any materials, software, literature, products or services supplied by the operator for the purposes of the marketing of the products supplied to the members by the operator unless written permission to the contrary has been obtained.
  • To maintain Professional Indemnity insurance at all times, at least to the level of the FSA requirements and to advise the operator of any alteration to the cover stated in this application.
  • That if, in the opinion of the operator, they act in a manner likely to bring the name of the operator into disrepute or conduct themselves in a manner which, in the opinion of the operator, is inconsistent with the manner in which members should conduct themselves, they may at the absolute discretion of the operator have their membership cancelled, and use of services withdrawn or suspended.
  • That in the event of a complaint in writing being received by the operator, the operator will advise its member, who will then have the right to present within 10 days of being notified the facts and evidence as necessary.
  • That the operator has the right upon a complaint being made to investigate such complaint in a manner they deem to be proper, and that the operator may, at their discretion, cancel the membership of the individual, partnership or company involved.
  • That the decision of the operator on any matter will be final.
  • That they will not negotiate on behalf of the operator or commit the operator to any contract without written authority to do so. For the avoidance of doubt, no relationship of agency is hereby given for any member to do any act or thing in the name of the operator.
  • To provide three months’ notice in writing of an intention to cancel membership.
  • The operator may assign its obligations and benefits under the Scheme without obtaining the consent or notifying the members.
  • Keychoice’ members will support Keychoice’ strategic insurers, wherever possible, placing personal lines business through the designated Keychoice agency arrangements.
  • To irrevocably authorise the operator, subject to receiving advance notification, to remotely activate Keychoice’ products and services.
  • To support Keychoice’ products and services, wherever possible, placing business through the designated Keychoice’ agency arrangements. Standard agency arrangements will be replaced by Keychoice versions for each insurer.

Data Protection Policy

Some or all of the information supplied to us in connection with your application for membership to the Keychoice Scheme may be held on computer. 

Any personal data you provide to us will be assessed for the purposes of vetting an application for membership of Keychoice and maintained as part of our membership records.

We may pass your contact details (name, job title, telephone and fax numbers and your email and postal addresses) to relevant insurance companies or other third parties with whom we may investigate, develop, promote or offer further products and services as part of the Keychoice Scheme. We and the relevant insurer or third party may from time to time notify you of such further products and services, which may be of interest to you.

Your personal data may also be aggregated for statistical purposes in negotiations with insurers and/or third party product or service providers, to be used for the purpose of investigating the amendment of existing products and services or the introduction of new products and services. Such aggregated data will not include personally identifying information.

We may also exchange your personal data with other approved organisations for underwriting and fraud prevention purposes.

You have certain rights under the Data Protection Act 1998. You have the right to be told what personal information we hold about you. You should write to the Data Controller at: Fearnley Mill, Dean Clough, Halifax HX3 5AX.
